Comparing Hotel Software Vendors: Five Traps Almost Every Business Falls Into

5 min read

Three quotes, three pricing models, three completely different scopes: comparing software vendors usually means comparing apples with oranges.

That is no coincidence. Vendors structure quotes to look good in direct comparison. These five traps appear in almost every selection project we see.

Trap 1: The entry price without context

The advertised price applies to the smallest configuration without interfaces, migration or training. Always ask: what does full operation cost in my scenario over 36 months?

Trap 2: References from the wrong category

A system that works in a 400-room chain can fail completely in a 60-room property with a restaurant. Demand references from businesses of your size, segment and market — and actually call them.

Trap 3: Promised interfaces without proof

“The interface exists” often means: it was built once for another customer. Get written confirmation of which interfaces are in productive use, what they cost and who maintains them when something breaks.

Trap 4: The implementation partner as a risk

It is not the software but the implementation team that decides project success. Ask who exactly will run your project, how many parallel projects that team handles and what happens if key people drop out.

Trap 5: Contract details that become expensive later

Price adjustment clauses, minimum terms, data export on termination, costs for additional users: these points determine the real cost. Review the contract before deciding — not after.

Bottom line

Comparability does not come from more quotes but from a uniform quote structure that you define. When vendors answer the same questions in the same structure, the differences become obvious.
