Untangling Your System Landscape: From Patchwork to a Viable Architecture
5 min read
PMS, channel manager, point of sale, accounting, time tracking, guest app, newsletter tool: many businesses run ten to twenty systems — grown over years, rarely planned. That costs time every day and creates errors at every handover point.
Step 1: Honestly capture the status quo
List all systems with four attributes: purpose, annual cost, features actually used, interfaces. In almost every business this reveals systems nobody uses anymore, duplicate functionality and Excel workarounds that are really system tasks.
Step 2: Identify the breaks
Wherever data is transferred by hand from one system to another, errors and extra work arise. These breakpoints are your real digitalization projects — not the next new tool.
Step 3: Consolidate with judgment
Not every integration is worthwhile, and not every legacy system must go immediately. For each breakpoint ask: how often does the case occur, what does the manual work cost, what would automation cost? Only this calculation shows where action pays off.
Step 4: Fix the target picture
Define which system will own which task and where each type of data originates. This target picture is the reference for every future purchase decision — and the best protection against slow regrowth.
Bottom line
An untangled system landscape is not a luxury but the prerequisite for everything that follows — from automation to AI. The path there begins not with a purchase but with an honest inventory.
